Privacy Policy

This Privacy Policy describes how Xentric Labs("we," "us," or "our"), operated by Neerav Vyas, collects, uses, and shares information when you use Simplventory(the "Service"), including our website and related applications.

This Policy is intended for users in the United States. It is product draft copy for publishing on Simplventory pages — not legal advice. Have counsel review before relying on it in production.

By using the Service, you agree to this Privacy Policy. If you do not agree, do not use the Service.

1. Who we are

Simplventory is a personal inventory product that helps you photograph and organize items by space, and export inventory data (including for insurance documentation).

2. Information we collect

2.1 Account information

When you create an account, we collect:

  • Email address
  • Password (stored in hashed form by our authentication provider; we do not store plaintext passwords)
  • Account preferences and settings you choose

Authentication is provided through Supabase (email/password sign-in).

2.2 Inventory and content you provide

You may upload or enter:

  • Photos of items
  • Item details (names, descriptions, quantities, values, notes, categories)
  • Spaces / locations you define (e.g., rooms or areas)
  • Other content you choose to store in the Service
  • CSV or similar exports you generate (including insurance-oriented exports)

2.2a AI photo suggestions (optional)

If you use optional AI photo suggestion features, we may send the photos you choose (and related prompts) to our AI provider (OpenRouter and the underlying model providers) to generate suggested item names or details. Do not upload photos you do not want processed this way. We do not use this path to sell your personal information. Core inventory features work without using AI. We do not train our own foundation models on your inventory content.

2.3 Usage and device information

We may automatically collect:

  • Log data (IP address, browser type, pages viewed, timestamps, referring URLs)
  • Device and connection information
  • Approximate location derived from IP (not precise GPS unless you later enable something that requires it)
  • Cookies or similar technologies used for session, security, and basic analytics

2.4 Communications

If you contact us, we collect the content of your message and any contact details you provide.

2.5 Payment information (if applicable)

If the Service offers paid plans, payments are processed by a third-party payment processor. We do not store full payment card numbers on our servers. The processor may provide us limited billing metadata (e.g., plan, status, last four digits, billing email).

3. How we use information

We use information to:

  • Provide, operate, and maintain the Service
  • Authenticate you and secure your account
  • Store and display your inventory, photos, and spaces
  • Generate exports you request (including CSV)
  • Provide optional AI photo suggestions when you use that feature (via our AI providers)
  • Improve performance, reliability, and features
  • Communicate about the Service (service notices, security alerts, support replies)
  • Detect, prevent, and address fraud, abuse, or security issues
  • Comply with law and enforce our Terms

We do not sell your personal information.

AI features and providers

Simplventory may offer optional artificial-intelligence features (for example, help labeling items or extracting details from photos or text you provide). When you use an AI feature, the inputs needed for that request — which may include photos, item details, or prompts — are sent to our AI infrastructure providers so they can return a result to the Service.

We use OpenRouter to route AI requests to underlying model providers. OpenRouter and those model providers process the submitted content to generate outputs for you. Their handling of data is governed by their own terms and privacy policies.

We do not sell your content. We do not use your inventory content to train our own foundation models. Core Service features (account auth, storing photos and spaces, and CSV export) do not require AI; you can use the Service without invoking AI features where we offer a choice.

Do not submit information you are not comfortable sending to our AI providers. We are not responsible for model errors, hallucinations, or third-party provider practices beyond our contractual relationship with them.

4. How we share information

We may share information with:

4.1 Service providers

Vendors who help us run the Service, such as:

  • Supabase — authentication, database, and related infrastructure
  • Hosting / CDN providers
  • Analytics or error-monitoring tools (if enabled)
  • Email delivery providers
  • Payment processors (if paid plans are offered)
  • OpenRouter (and underlying model providers) for optional AI features

These providers process data on our behalf under contractual obligations appropriate to their role.

4.2 Legal and safety

We may disclose information if we believe in good faith that disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of us, our users, or the public.

4.3 Business transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and notice practices.

4.4 With your direction

We may share information when you ask us to (for example, when you export and download a CSV and share it yourself).

5. Data storage and security

We use industry-standard safeguards designed to protect information, including encryption in transit (HTTPS) and access controls. No method of transmission or storage is 100% secure. You are responsible for keeping your password confidential and for activity under your account.

Data may be processed and stored in the United States or other locations where we or our providers operate.

6. Data retention

We retain account and inventory data while your account is active. If you delete content or close your account, we will delete or de-identify associated data within a reasonable period, except where we must retain it for legal, security, dispute-resolution, or backup purposes.

7. Your choices and rights

Depending on where you live, you may have rights to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your account or certain data
  • Export your data (including via in-product CSV export where available)
  • Opt out of non-essential marketing emails (service/transactional messages may still be sent)

You can update some account information in the Service. You can control cookies through your browser settings (disabling cookies may affect login and core features).

8. Children's privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it. If you believe a child has provided information, contact us.

9. Third-party links and services

The Service may link to third-party sites or rely on third-party services (including Supabase). Their privacy practices are governed by their own policies. We are not responsible for third-party practices.

10. International users

The Service is operated from the United States. If you access it from outside the U.S., you understand that your information may be transferred to, stored, and processed in the U.S., where laws may differ from those in your country.

11. Changes to this Policy

We may update this Privacy Policy from time to time. We will change the "Last updated" date and, when changes are material, provide additional notice (for example, in-product or by email). Continued use after the effective date means you accept the updated Policy.
